Set up e-mail forwarding

  • Admin

Set up e-mail forwarding when your customers send their orders to a mailbox of your own: every mail that reaches your forwarding address becomes an inquiry that the AI reads. To let Hyperfox read a Microsoft 365 mailbox itself instead, see Connect Microsoft 365. If you are new to channels and routes, read Channels, routes and mappings first.

info

Hyperfox created a Forward E-mail channel and its forwarding address together with your environment. The address ends in @to-hyperfox.com.

Find your forwarding address

The Dashboard shows your forwarding address next to Forwarding active. Click Copy value (copy) to copy it.

Every mail that reaches this address becomes an inquiry in Processing. For a first test, see Send a test order to see how Hyperfox reads it.

Let Hyperfox download order files from links

Some customers send a link to their order, for example to a file on their ordering portal, instead of an attachment. Hyperfox downloads the file behind a link only when the link starts with an entry under Allowed domains. With no entry, Hyperfox downloads no links.

  1. Go to Admin settings > Channels and click Manage (sliders) in the row of the Forward E-mail channel.
  2. Under Allowed domains, click Add domain.
  3. Enter the start of the link, including https://, for example https://portal.example.com. An entry without http:// or https:// is refused when you save.
  4. Click Save.

Allowed domains does not filter senders, although its description on the screen says so. Hyperfox reads mail from every sender.

Add a second forwarding address

Add another Forward E-mail channel when a kind of order mail needs its own routes and mappings, for example the orders of one sales region. Each channel gets its own forwarding address.

  1. Go to Admin settings > Channels.
  2. Under Add a channel, click Forward E-mail.
  3. In Label, enter a name that says which orders the channel receives, for example "Orders Benelux".
  4. Click Create channel. Hyperfox creates the forwarding address of the channel.
  5. Under Accounts, copy the address that ends in @to-hyperfox.com. This is the forwarding address of the new channel.
  6. Switch Paused to Active and click Save. A new channel starts paused.
  7. On the Routes tab, set up the routes of the channel. For what a route does, see Routes.

What the Accounts list does

Accounts ties e-mail addresses to the channel: mail sent to an address in the list arrives on this channel. Hyperfox fills the list, so keep the addresses it put there. * means the channel also takes mail sent to an address that no other channel lists.

Pause or delete a channel

  • Switch a channel to Paused and click Save to stop it from taking mail. Mail sent to its address then goes to an active channel with * under Accounts. Without such a channel, Hyperfox does not process the mail.
  • Click Delete channel to remove a channel you added and no longer need. Its forwarding address stops accepting mail. This cannot be undone. Keep the channel Hyperfox created with your environment: without it, mail sent to your environment's forwarding address is lost.
