A field or note I filled in did not reach my ERP

A field or note you see on the order in Hyperfox is empty or missing in your ERP. First find the order in Archive and check whether the field has a value there.

The field has a value in Hyperfox, but your ERP never receives it

Cause: Your ERP receives only the fields that the template of your export profile includes. The template sets which Hyperfox field goes into which field of your ERP, and which fields it leaves out. A field you see and fill in on the validation screen can therefore be missing from what your ERP receives.

Fix:

  • Check another order that has a value in the same field. If that field is missing in your ERP on every order, the template does not include it.

Ask your admin to open the export profile under Admin settings > Data > Export Profiles. In its template, your admin reads which fields it includes. How the template lists the fields is described under Template.

Hyperfox writes the template for your environment. Ask your admin to have support add the field to the template, and to say which field of your ERP it goes into. The template decides the format explains how the template shapes what your ERP receives.

A field your ERP has no place for cannot be added to the template. Ask your ERP team whether the import of your ERP accepts that field.

The field was empty when you validated

Cause: Hyperfox sends the order as it is stored when you validate it, so an empty field reaches your ERP empty. Hyperfox fills only what the document states. When the document has no value for a field, the field stays empty. Fields such as a depot, a workflow or an incoterm are often not on the customer's document at all. You choose them yourself in their picker. An empty field blocks Validate only when it is required, so an empty optional field does not stop you.

Fix:

  1. Before you click Validate, check that every field your ERP needs has a value.
  2. Check the fields without an error too.
  3. For an order already in your ERP, enter the value there.

For next time, if the same field is empty on most orders, ask your admin to give the field an instruction or a default in the AI mapping.

To make the field required, so that Validate stays blocked while the field is empty, your admin asks support. What you can configure, and what Hyperfox configures lists who sets what.

The note is in your ERP, but in a field you do not look at

Cause: The template puts each Hyperfox field into one field of your ERP. A note, a remark or planning text can arrive in a field that your ERP keeps but does not show on the screen you use. An example is an internal remark instead of the remark on the delivery note. If your ERP has no field for the note, the note arrives in no field at all.

Fix:

  • On the validation screen, enter text for your ERP in the field that reaches your ERP. Do not enter it in a field that only Hyperfox shows.

Ask your ERP team in which field of your ERP the note arrives, and whether that field shows on the screen you use.

If the note needs to go into a different field of your ERP, ask your admin to have support change that. The Template sets which field of your ERP each Hyperfox field goes into.

Your organisation receives orders through a webhook, and the field is not used

Cause: A webhook has no template. The webhook sends the whole order as Hyperfox stores it, as JSON, with every field and the records the order points to. If the field still does not show in your ERP, the integration that receives the webhook does not use it.

Fix:

Ask your admin to open the call of the order in Webhook Call Details and to check that the field is in the Payload.

If the field is there with its value, ask the integrator who built the receiving integration to include the field.

Still wrong?

If the problem persists, contact support at [email protected]. Mention the inquiry id of an order where the field did not arrive, and these details:

  • The name of the field in Hyperfox and the value it had when you validated.
  • The field of your ERP where you expected the value.
  • The status of the order in Hyperfox, such as Completed or Submitted.
