The order has fewer lines than the document

  • Admin

An order in To validate has fewer lines than the document. Compare the Total row with the document, then add the missing lines and validate.

Hyperfox does not compare the number of lines on the order with the document. To find out how many lines are missing, compare the Total with the document. To add lines, follow Add, delete and fill lines.

Lines are missing from a long or multi-page document

The document has dozens of lines or several pages, and the order has fewer. Lines from a later page, from the end or from the middle are missing.

Cause: Hyperfox does not cut a long document into parts and sets no page or row limit. It reads a PDF whole and a spreadsheet in blocks of rows. On a long document, the reading can stop before the last line. On a spreadsheet of a stock order, the step that finds the columns also finds the first and last row of the lines. If that step takes the last row too early, Hyperfox can miss the lines after it.

Fix:

  1. Compare the Total row with the document to see how much is missing. Follow Compare the Total with the document.
  2. On a PDF, click AI highlights in the source pane. Hyperfox highlights the rows the order lines came from.
  3. Look for the missing lines among the rows without a highlight.
  4. Add the missing lines.

If most lines are missing and you have not changed the order yet, consider a Retry.

For next time, if one customer's long orders keep losing lines, ask your admin to change the instruction on the field that holds the lines. The instruction then says where the lines run. Example: "The lines continue on every page, up to the row with the order total. Read every page." Steer how the AI reads a field has more example instructions.

A spreadsheet row is missing because its quantity is not a plain number or is empty

The row is on the spreadsheet, but its quantity is written as "1 PAL", "PAL 1" or in words, or the quantity cell is empty. The order has no line for that row, or a line with a different quantity.

Cause: When Hyperfox reads the spreadsheet of a stock order column by column, it takes the quantity from a number at the start of the cell. Hyperfox reads "1 PAL" or "4 ST" as 1 or 4, and does not read the unit in that cell. Hyperfox leaves out a row whose quantity is empty or 0, even if the row names an item. If the cell does not start with a number, such as "PAL 1" or "one", Hyperfox reads the quantity from the text of the cell instead, and can misread it. How Hyperfox reads and fills in an order, step by step describes how the document is read.

Fix:

  1. Add a line for every missing row.
  2. Correct the quantity of every line whose quantity cell does not start with a number.
  3. Check the unit of the lines whose quantity cell also held a unit, such as "1 PAL". If the unit came from that cell only, the line can have the item's base unit. To fix that unit, follow Boxes became pieces: the unit is not one of the item's units.
  4. Compare the Total row with the document. The steps are in Compare the Total with the document.

For next time, ask the customer to write a number in the quantity column, and the unit in a column of its own. If a row whose quantity is a number above 0 keeps disappearing, report it to support with the inquiry id and the missing rows. Still wrong? lists what to send.

Several articles in one row, or in one cell on separate lines, became one line

The spreadsheet holds two or more items on one row, or several item codes in one cell, each on a line of its own. The order has one line where the document has several.

Cause: If Hyperfox reads the spreadsheet of a stock order column by column, every row becomes at most one line. Every value of the line comes from one column. Two item codes in one row, or in one cell on separate lines, therefore end up on a single line.

Fix:

  1. Correct the item and the quantity of that line.
  2. Add a line for every other item in the row.
  3. Compare the Total row with the document. Follow Compare the Total with the document.

For next time, ask your admin to describe the layout in the instruction on the field that holds the lines. Example: "A cell can hold several article codes on separate lines. Each code is its own line." Example instructions are in Steer how the AI reads a field. If it keeps happening, ask the customer for one row per item.

Lines at the bottom of the mail, on page two or on another sheet are missing

The order has the lines of the main table, but not the items the customer wrote elsewhere. Those items are under the table, in the e-mail text below the attachment's lines, on a second page or on a second sheet.

Cause: Hyperfox reads the subject and body of the e-mail and every attachment in a format it reads. It reads every visible sheet of an Excel file. On a spreadsheet of a stock order, it first takes the lines from the table it took as the current order. It then adds the lines it finds elsewhere in the document. Hyperfox can read lines apart from the main table as something other than order lines. Examples are a few items below the signature, or a short list on the next page after a totals row. A second sheet that looks like a copy or an earlier order is another example. Everything Hyperfox reads is listed in How Hyperfox reads and fills in an order, step by step.

Fix:

  1. Check the e-mail text, every page of the attachment and every sheet for lines that are not on the order.
  2. Add those lines.
  3. Compare the Total row with the document. Compare the Total with the document gives the steps.

For next time, if a customer always writes lines in the same second place, ask your admin to name that place in the instruction. The instruction goes on the field that holds the lines. Example: "Articles listed below the table, or in the mail text under it, are order lines too." Another example: "The order continues on the sheet 'Page 2'." Steer how the AI reads a field shows how to write an instruction.

Rows hidden by a filter or a collapsed group are missing

The customer's Excel file has a filter on, or rows folded into a group. The order has no line for the rows that the filter or the group hides.

Cause: Hyperfox reads only what the customer can see in the spreadsheet. It leaves out hidden sheets, and rows or columns hidden by a filter or a folded group. A file in the old .xls format is the exception: Hyperfox reads that file whole, hidden rows included.

Fix:

  1. Open the file.
  2. Clear the filter and unfold every group.
  3. Compare the rows with the lines on the order.
  4. Add the missing lines.

For next time, ask the customer to send the file without filters and with every group unfolded.

The first read lost lines, and a Retry gives another result

Most lines are missing, the document itself looks ordinary, and you wonder whether reading it again helps.

Cause: One read of a long document can stop early. A second read is a new read, and Hyperfox reads the whole document again from the start. The result can have more lines than the first read, the same number or fewer. Why a read stops early is explained in Lines are missing from a long or multi-page document.

Fix:

Retry deletes every order of the inquiry, including the changes you saved, and replaces them with a new reading. This cannot be undone. To keep your changes, correct the order by hand and validate it instead.

  1. If you have not changed the order yet, click Retry. Retry an order so Hyperfox reads it again from the start walks through it.
  2. When the inquiry is back in To validate, compare the Total row with the document again. The steps are in Compare the Total with the document.
  3. If lines are still missing, add them by hand instead of retrying again.

Nothing on your side prevents a one-off lost read. For next time, if the same kind of document keeps losing lines, report it to support. What to send is under Still wrong?.

Compare the Total with the document

You are not sure whether lines are missing, or how many.

Cause: Hyperfox does not compare the number of lines on the order with the document. No warning tells you that a line is missing.

Fix:

  1. Scroll to the Total row under the lines. The row sums the quantities per unit. Fix order lines: item, quantity and unit describes the row.
  2. Compare those totals with the totals on the document. If the document has no total, count its lines and compare them with the lines on the order.
  3. On a PDF, click AI highlights in the source pane.
  4. Look for rows without a highlight.
  5. Add the missing lines.

For next time, compare the Total row before every Validate on long documents and spreadsheets.

Still wrong?

If the problem persists, contact support at [email protected]. Mention the inquiry id, the number of pages, and the number of lines on the document and on the order. The full list of what to send is in How to report a problem with an order to support.
