Validate your first order
- User
In this tutorial you check one real order against its source document, correct what Hyperfox read wrong and send the order to your ERP. At the end the order has left To validate and Hyperfox has recorded your corrections in Codex.
Check before you start
- You can sign in to Hyperfox.
- At least one order waits in To validate. If the list is empty, send a test order first.
Step 1: Open the order
- Click To validate.
- Click the first row.
You see the validation screen. The source pane shows the e-mail and its attachments. Together they are the inquiry, what arrived. Order details shows the order, what Hyperfox read and what you validate. Lines shows one line per item. Every part of the screen is described in What each part of the validation screen shows.
If you see more than one order tab, the inquiry holds several orders. Check each tab, because Validate sends all of them. How a split inquiry works: one document, several orders explains the tabs.
Step 2: Check the order against the document
- In the source pane, click the attachment that holds the order, for example the PDF.
- In Order details, compare the customer, and fields such as the delivery date and the reference, with the document.
- In Lines, compare the item, quantity and unit of each line with the document.
Each line on the document has one line in Lines. If a value differs, click the field or cell and correct it. For an item or a unit, type to search and choose the right one. Other line corrections are in Fix order lines: item, quantity and unit.
Step 3: Validate the order
Validate stays disabled while any order of the inquiry has an error. The order tab then shows a count. If no order tab shows a count, go to step 4.
- Click Show errors to resolve (the error count on the form).
- Click the first entry, for example "Line #1 · Item" with "Item is required". Hyperfox jumps to the field.
- Fix the field, then the next entry, until no order tab shows a count. Validate is enabled.
- Click Validate. Hyperfox shows "Approved" and returns to To validate. The order is no longer in the list.
The Errors to resolve pane shows one entry per error. If Hyperfox also left warnings, the pane reads Errors & warnings. An entry disappears as soon as its field is valid.
What happened
- The order now has the status Validated and is in Archive. When your ERP has received the order, the status becomes Submitted or Completed. If sending fails, the status becomes Submit Failed and the order returns to To validate. I validated the order, but it is not in my ERP lists what to do then.
- If you replaced an automatically matched customer, item or unit, Hyperfox has recorded your correction in Codex, the record of your corrections. Hyperfox applies the correction to later orders. The background is in How Codex learns from your corrections.
