Reject an order

  • User

Reject an order when it should never reach your ERP, such as a test e-mail, a duplicate or an e-mail that is not an order. Reject acts on the whole inquiry. Every order of the inquiry that is not validated yet becomes Rejected. Orders that are already validated keep their status. If you are new to inquiries and orders, read Inquiries, orders and lines first.

Check before you start

  • Reject acts on the whole inquiry, whether you start it from the list or from the validation screen. This cannot be undone.
  • Reject touches only this inquiry. Other inquiries and orders with the same customer reference keep their status.
  • To drop only one order of a split inquiry, delete that order instead with Delete Order followed by the order number (bin) on its tab.
  • Nobody else has the inquiry open. If a colleague has it open, Hyperfox does not reject the inquiry and shows the name of that colleague. What happens when you and a colleague open the same order explains the lock.

Reject from the list

  1. Click To validate.
  2. In the row of the inquiry, click Reject (cross). A dialog shows "Reject this inquiry?" and how many orders it rejects. For an inquiry with one order, the dialog shows "Reject this order?".
  3. Click Reject, or press ⌘ Enter (Ctrl Enter on Windows). Hyperfox shows "Rejected", and the inquiry leaves To validate.

Reject from the validation screen

  1. In To validate, click the row of the inquiry.
  2. Click Reject, or press ⌘ K and choose Reject the inquiry… in the command palette. The same dialog opens. Reject has no shortcut of its own, because a rejection cannot be undone.
  3. Click Reject. Hyperfox shows "Rejected" and returns to To validate.

After you reject

  • The inquiry is in Archive. To see the inquiry, filter Archive on the status Rejected.
  • Orders that were already Validated, Submitted or Completed keep their status. Only the orders that still waited for validation become Rejected.
  • In a split inquiry, some orders can reach your ERP while others return with Submit Failed. You can still reject that inquiry. The Submit Failed orders become Rejected, and the delivered orders keep their status.
  • A colleague who had the inquiry open sees a message that names who rejected it, and their screen becomes read-only.
  • Hyperfox does not send a rejected order to your ERP.
  • Hyperfox does not e-mail the sender of the rejected inquiry.
  • Hyperfox records who rejected each order in the same field that records who validated an order. If your admin adds a column for that field, Archive shows who rejected the order.
  • If the inquiry arrived through a connected Microsoft 365 mailbox, Hyperfox labels the e-mail "HF: Rejected". Your admin can set another name for that label under Label names on the channel.

You cannot delete an order

Hyperfox has no action that deletes an inquiry or an order, in the lists or in the validation screen. Reject is the nearest alternative. The inquiry stays in Archive with the status Rejected, and Hyperfox does not send it to your ERP.

In a split inquiry that still waits in To validate, you can delete one order of several with the bin on its tab, Delete Order followed by the order number. An inquiry always keeps at least one order. A validated order can no longer be deleted.

Hyperfox has no action that deletes test orders. Ask support at [email protected] whether the test orders can be deleted. Say which lists and up to which date.
