What each part of the validation screen shows
- User
- Admin
This page lists what each zone, control and message of the validation screen shows. The screen opens when you click an order in To validate, and shows every order of its inquiry next to the source document.
Layout
| Zone | What it holds |
|---|---|
| Sub-header | Accuracy, inquiry number, the order you are on, and the buttons that act on the whole inquiry. |
| Order tabs | One tab per order of the inquiry, with its error or warning count. |
| Source pane | The e-mail and its attachments, as Hyperfox received them. |
| Order pane | Order details (the order form) and Lines. |
| Errors pane | Errors to resolve, or Errors & warnings when Hyperfox left warnings or info. Hidden until you open it. |
The source pane and the order pane sit side by side in Split view, or one at a time in Tabs view. Both views are described under Workspace layout.
Sub-header
| Control | What it does |
|---|---|
| Previous in the list, Next in the list (arrows) | Open the previous or next order of the list you came from, with the list's sorting, filters and page. Shown only when you opened the inquiry from To validate or Archive in this browser tab. On the first or last order, the arrow is disabled and reads First in the list or Last in the list. Shortcut ⌥ PgUp / ⌥ PgDn (Alt PgUp / Alt PgDn on Windows). Steps in Work through a list order by order, without going back to it. |
| Accuracy badge, for example 80 % | How complete Hyperfox's reading is. The percentage drops for every key field it left empty. Hyperfox sets the colours per environment. The badge is explained in How Hyperfox reads and fills in an order, step by step. |
| Inquiry # and the number | A number of the active order: its order number, customer reference or ERP order number. It is not the inquiry id; find the inquiry id for support. If the order has no number, the sub-header shows Order inquiry. |
| For example Order 1 of 2 | The order you are on, followed by its customer. |
| Reject | Rejects every order of the inquiry that is not validated yet. Shows a confirmation first. When the list has a next order, Hyperfox opens it after the rejection. If you chose Validate & back to list, Hyperfox returns to the list instead. Steps in Reject an order. |
| Save | Saves your changes. The orders stay in To validate with the status Saved. Shortcut ⌘ S (Ctrl S on Windows). |
| Validate | Validates every order of the inquiry that still needs work and sends it to your ERP. Tooltip "Validate and send all orders to the client". Disabled while any order has an error. The tooltip then shows how many orders are still blocked. Shortcut ⌘ Enter (Ctrl Enter on Windows). When the list has a next order, the button reads Validate & next and opens that order after validating. On the last order of the list, it reads Validate and returns to the list. |
| Choose where Validate takes you (arrow beside Validate & next) | Opens a menu with Validate & next and Validate & back to list. Hyperfox keeps your choice with your account. Not shown on the last order of the list. Steps in Return to the list after every order instead. |
| Retry (tooltip "Re-run extraction") | Sends the inquiry back to be read again from the start. Retry deletes every order of the inquiry, including the changes you saved, and replaces them with a new reading. If the channel has two or more routes, Retry opens a menu: Retry with current category and one entry per route. Typical uses: an e-mail that was sent to the wrong route, an order that arrived without data, a test of a changed instruction. Steps in Retry an order so Hyperfox reads it again from the start. |
| Developer tools | Admins only. Codex lists the Codex entries recorded on this order (Captured) and the ones Hyperfox used while reading it (Applied). AI Response shows what Hyperfox's reading returned. Background in How Codex learns from your corrections. |
| Keyboard shortcuts | Opens the list of shortcuts for this screen. Every screen is in All keyboard shortcuts in Hyperfox, by screen. |
| Workspace view options | Shows or hides the layout controls, described under Workspace layout. |
| Open email in a separate window | Opens the source pane in a second browser window. Details under E-mail in a separate window. |
| Close and go back | Closes the inquiry and returns to To validate, on the row of the inquiry you closed. If you have unsaved changes, Hyperfox shows a confirmation first. |
| "{name} has this inquiry open" | Shown when a colleague has the inquiry open, one of the read-only states. |
Order tabs
Since the release of 19 August 2026.

|---|---|
| Order 1, Order 2… | One tab per order of the inquiry. To switch orders, click a tab. If the inquiry has many orders, the tabs scroll sideways. |
| Error count | Number of errors on that order, for example "3 errors to resolve". |
| Warning count | Number of warnings on that order. |
| No errors (check mark) | The order has no errors. |
| Order is locked (padlock) | The order is already validated. You cannot change it. |
| New order | Adds an empty order to the inquiry. |
| Delete Order 1, Delete Order 2… (bin) | Deletes the order and its lines after a confirmation. Disabled with "An inquiry must keep at least one order", or with "A validated order can no longer be deleted". |
Source pane
Since the release of 14 October 2026.
| Element | Meaning |
|---|---|
| Subject, From: with the sender, date | The e-mail as received. |
| Message, attachment chips | One chip for the e-mail body and one per attachment Hyperfox can show. To view the e-mail body or an attachment, click its chip. ⌥ ⇧ ↓ and ⌥ ⇧ ↑ (Alt Shift ↓ / ↑ on Windows) step through them. |
| Download | Downloads the attachment. |
| PDF toolbar | Previous page, Next page, Current page, Zoom out, Zoom in, Reset zoom to 100%, Rotate clockwise. Zoom goes from 50% to 200%. You can select and copy the text of a PDF, unless the PDF is a scan. The PDF is blurry when you zoom in, or you cannot select its text. |
| AI highlights | Switches highlights on or off in this browser. On by default. When on, Hyperfox highlights the rows the lines came from. Pointing to a line highlights its row and opens its attachment. Works only for order lines on a PDF with selectable text. |
| Image, CSV file, RTF file | An image opens in an image viewer. A CSV file opens as a table, with its number of rows and columns. An RTF file has its own chip and opens as a document. Viewing a file is not the same as Hyperfox reading it. |
| Image viewer | Zoom out, Zoom in and the percentage (Reset zoom to fit), from 100% to 400%. The mouse wheel zooms too. Fit to width, Rotate counter-clockwise, Rotate clockwise, Open fullscreen. To move a zoomed picture, drag it. You cannot zoom in on a picture. |
| Word, Excel or OpenDocument file | If Hyperfox has switched on Render Office Documents for your environment, the file shows in Microsoft's online viewer. That viewer receives a link to the file. Otherwise the pane shows "Preview not available". |
| HTML or text file | An .html, .htm or .txt file shows as a page. Scripts in it do not run. |
| JSON or XML file | Shown as formatted text that you cannot change. |
| Voice message | Opens in an audio player. Above the player, the card Transcription shows the text Hyperfox made of the message. Hyperfox read that text, not the sound. Copy all copies the text. The order came in as a voice message and is incomplete or misheard. |
| Attached e-mail | An .eml or .msg file has no chip of its own. If the inquiry holds the original e-mail as a file, Download (arrow) on the Message chip downloads that file. An e-mail attached to the original e-mail is inside that file. |
| "Preview not available", with the file name | A Word, Excel or OpenDocument file while Render Office Documents is off. |
| "Preview could not be loaded", with the file name | Hyperfox could not fetch a JSON, XML, CSV or RTF file, or its content is not valid in that format. An attachment or the mail doesn't show in the source pane. |
| No chip for a file | A file the pane cannot show, such as a .zip archive, a PowerPoint file or a file without an extension, gets no chip. |
