Handle a split inquiry: add orders, move lines, validate
- User
Work with a split inquiry when one document holds several orders, for example one per delivery address or one per truck. Check that the orders together hold the whole document before you validate them. If you are new to split inquiries, read How a split inquiry works: one document, several orders first.
Check before you start
- The inquiry is in To validate and you have it open. When a colleague has it open, every order is read-only for you. What happens when you and a colleague open the same order explains the lock.
- An order that is already validated shows Order is locked (padlock) on its tab. You cannot change it, move lines into it or delete it.
The screen keeps your changes to orders and lines until you click Save or Validate. Until then, ⌘ Z (Ctrl Z on Windows) undoes them one by one.
Switch between orders
- Click an order tab, for example Order 2.
The form and the lines of that order open.
Ctrl ⇧ →andCtrl ⇧ ←go to the next or previous order. - Read the badge on each tab: a red count of errors, a count of warnings, or No errors.
Every shortcut of this screen is listed in All keyboard shortcuts in Hyperfox, by screen.
Add an order
- Click New order. A new tab opens with an empty order. The new order takes the issue date of the order you were on.
- Fill in Order details for the new order, for example the delivery address.
- Move or copy lines into the new order. To move or copy lines, follow Move or copy lines to another order.
Move or copy lines to another order
- Select the checkbox on each line, or press
Spaceon a line. The selection bar opens, for example with 3 lines selected. - Click Move to (
M) or Copy to (C). A menu opens with the other orders of the inquiry that you can still change. To search the menu, type in Find order…. - In the menu, click the order the lines go to, Move to new order or Copy to new order. Both are at the bottom of the menu. The lines are on that order now. With Move to, they are no longer on the order you were on.
To move or copy one line, click Row actions for line (three dots) on the line. Then choose Move to… or Copy to….
Delete an order
Delete an order that must not go to your ERP, for example an order Hyperfox made from a page that holds no order. Rejecting would reject the whole inquiry.
- Click the tab of the order.
- Next to New order, click Delete Order 2 (bin). The label carries the number of that order. Hyperfox shows "Delete Order 2 and its lines from this inquiry?".
- Click Delete.
The tab disappears. To undo the deletion, press
⌘ Z(Ctrl Zon Windows).
Hyperfox disables the bin on the last order of an inquiry, with "An inquiry must keep at least one order". It also disables the bin on a validated order, with "A validated order can no longer be deleted".
Check the totals
Since the release of 14 October 2026.
On a split inquiry, a totals bar under the lines shows two rows. The first row is the order you are on, for example Order 1. The second row is All orders, with the number of orders it counts. Totals across orders explains what All orders includes.
- Scroll to the totals bar under the lines. The bar shows quantities per unit, in one column per unit. Each weight or volume column of the lines has its own column. The columns follow the order of the columns of the lines.
- Compare All orders with the totals on the document. All orders is the sum of what is in Hyperfox, not the quantity on the document. If they differ, a line is missing, doubled or on the wrong unit.
- If the bar ends with a count such as +2 more, click the count. All items lists every unit with the quantity of this order and of All orders.
- After you move lines, or add or delete an order, read All orders again. The totals follow your changes before you save. Moving lines leaves the totals of All orders the same. Copying or duplicating lines, or deleting an order with lines, changes them. Adding an empty order changes only the count after All orders.
If quantities are not split per unit, Hyperfox has not linked the unit column in your environment to the list of units. The bar then adds all units into one figure. Ask support to link the column.
Validate when one order is still blocked
Validate sends every order that still needs work at the same time. That is why Validate stays disabled while any order has an error. You cannot validate one order and leave another for later. How Validate and Reject work on a split inquiry is described in How a split inquiry works: one document, several orders.
- Click the tab with a red count.
- Fix the errors of that order. To fix them, follow Clear the errors.
- To stop and continue later, click Save. Every order keeps your changes and the inquiry stays in To validate.
If that order must not go to your ERP, delete it instead.
Validate or reject the inquiry
- When no tab shows a red count, click Validate. Hyperfox validates every order that still needs work and sends those orders to your ERP. Orders that were already validated stay as they are.
Reject acts on the whole inquiry. Every order of the inquiry that is not validated yet becomes Rejected. This cannot be undone. To drop only one order of a split inquiry, delete that order instead. The steps to reject are in Reject an order.
